Choose clear columns

Use a stable line ID and identify the product or style, colorway, player or goalie cut, size, printed name, number and quantity. Add a notes column only for genuine exceptions. Keep private contact or medical information out of the production file; it is not needed to print a jersey.

Check data before approval

Look for duplicate numbers within the relevant team, missing sizes and inconsistent capitalization. Preserve leading zeros if they are part of the intended number. A blank name field should explicitly mean no name, not awaiting confirmation. If a player gets home and away garments, account for both.

Reconcile and lock the final version

Calculate quantities by style, colorway, cut and size, then compare them with the quotation. Ask the team contact to review the personalization exactly as it should appear. Rename the approved file with a date or revision, archive the previous version and state that the new file replaces it.

Can we change the file after approval?

Ask first. A change may affect artwork, cost or schedule depending on production status.
